Job Summary
Responsible for the timely and accurate payment of all colleague’s hourly and salary pay, control of Colleague Requisition Forms, and maintenance and updates of payroll system. This role will also work closely with the Director, Finance, Financial Controller and Human Resources Department on matters related to payroll.
Key Duties and Responsibilities
- Perform day to day payroll-related transactions and updates information in payroll system
- Verifies the Payroll and Status Authorization (PSA) in Fusion system as per approved manual. PSA approved by each Department Head and for Managers approved by the Director, Human Resources, Director, Finance and General Manager.
- Review timecards in payroll system verify that all data submitted is accurate at all times
- Prepare overtime schedule based on the authorized overtime forms and verify accuracy of data to the time cards submitted
- Perform bi-weekly payroll process accurately and efficiently and provide the payroll statement for review/approval one day before transmission bi-weekly to ensure that salary & wages payments are sent to the bank in a timely manner
- Ensure payroll adjustments such as payroll deductions and additions (e.g. salary/overtime adjustments, expense claims etc.) are properly applied during each payroll
- Ensure salaries & wages will not be released to colleagues without employment offers or offer renewals
- Prepare final payment for resigned/terminated employees accurately upon receipt of required documents from HRD and shall not release the payment unless the clearance form is received
- Post payroll journal entry and prepare monthly payroll reconciliation reports (including the salary variance report)
- Prepare monthly colleague headcount for submission to the Financial Controller on or before the end of the month
- Prepare colleague’s bi-weekly and monthly service charge distribution calculation
- Prepare monthly and quarterly payroll cost & headcount variance analysis
- Prepare monthly payroll provisions such as vacation pay, vacation ticket, incentive pay and long service award
- Prepare journal vouchers on monthly payroll transactions and other payroll-related accounts and adjustments
- Coordinate effectively with Human Resources Department on issues related to payroll
- Communicate with other departments on issues/matters related to payroll (i.e. attendance, overtime etc.) for efficient and timely resolution
- Prepare payroll documents and processes checklist and perform the review monthly; allows internal audits to be conducted by the Financial Controller
- Identifies areas for improvement related to Payroll processes and suggests improvements to enhance the current processes and improve internal controls
- Review continuously and suggest improvements on the Payroll Software to improve payroll processes and meet the current requirements
- Prepare / update documentation of all payroll process flows and prepare SOP as necessary
- Assist in the reforecast and annual budget exercise by providing information related to payroll
- Maintain high confidentiality and accuracy over payroll transactions and information
- Maintain full confidentiality over Resort Financial information
- Stay up to date with developments, laws and regulations affecting payroll
- Understand thoroughly the Resort policies and procedures affecting payroll such as Colleague Handbook and other policies issued by HRD or GM’s office
- Implement and maintain compliance to the Resort’s Standard Operating Procedures, generally accepted accounting policies, internal controls and local regulations
- Perform ad hoc duties and/or special projects as designated by the Director, Finance, and Financial Controller
- Effectively communicate and maintain a favorable working relationship with colleagues at all levels
Skills, Experience & Educational Requirements
- Minimum of 2 years’ experience in a Payroll role
- Excellent communication skills, interpersonal skills, analytical skills
- Excellent attention to detail and efficiency in completing tasks in a timely and accurate manner
- Knowledge in HR/ Payroll system is preferred
- Proficiency in Excel, Word and other Microsoft Office applications is required
