Job Summary
The Team Lead, Receiving will coordinate with the Clerk, Receiving to ensure all goods are received at the resort. They must do random, but thorough checks of all goods received in compliance with Goods’ Safety Handling, checking all related aspects, including the quantity of the goods received, expiration date, and amounts of excess or shortages, so all goods that do not adhere to the hygiene standards of the resort are put aside. They must also effectively communicate with the departments and section heads of Purchasing, Cost Control, and others.
Key Duties & Responsibilities

Checks all purchase orders and the market list, ensuring that items are received on the date of delivery according to resort standards

Communicating effectively about the expected date of arrival of goods ordered to the Resort

Checks that invoices reflect agreed-upon prices, referring to the Purchasing department immediately if discrepancies are found

Checks that dispatch notes accurately reflect corresponding invoices

Maintains a file of purchase orders against GRN numbers received daily

Ensures goods are kept in their correct places throughout the transportation process (e.g., items to be chilled should be in a cool area), reporting to the Purchasing department if they are not

Informs the Director of Purchasing about items damaged during transport for further investigation and record-keeping

Prepares copies of the daily receiving report, distributing them to relevant departments

Prepares a non-received items list from the market list, distributing it to the Director of Purchasing and Executive Chef

Prepares a list of the pending documents needed to complete the GRN posting, then informing the Purchasing department to follow up

Completes receiving batch reports (e.g., approved purchase orders, invoices, delivery notes, and goods received notes with signatures and signed GRNs), handing it to the Cost Control office daily

Prepares weekly / monthly receiving status reports that includes all received items and all open orders

Responsible for a proper filing system in the Receiving department

Ensures not to amend approved purchase orders or invoices without the consent of the Cost Controller, Director of Purchasing, and Director of Finance

Maintains full confidentiality of the resort’s financial status

Maintains a high spirit among the Finance department staff, as well as other resort staff

Uses creative and positive thinking to propose new ideas for the constant improvement of the Receiving system, including internal controls

Ensures that the receiving and storage areas are always clean and organized

Willing to complete other work within the department to assist other areas, such as in the event of staff on emergency leave or when requested by the Director of Purchasing and Director of Finance

Performs any additional duties and special projects as requested by the Director of Purchasing and Director of Finances
Skills, Experience, & Educational Requirements

At least 2 years’ experience in a similar role is required

Being a High School graduate is essential

Proven experience in a supervisory position

Strong communication and interpersonal skills are valuable

Proficient in computer programs, including Microsoft Excel
