Job Summary
The Storekeeper is responsible for the efficient receiving, storage, control, issuing, and safeguarding of all inventories within the hotel. The role ensures stock is received according to approved purchase orders and quality standards, stored under optimal conditions, issued accurately against approved requisitions, and managed in compliance with inventory controls, health and safety standards, and Food Safety Management Systems (FSMS). The Storekeeper maintains accurate records, monitors stock levels and expiry dates, and supports effective inventory management to minimize wastage, spoilage, and losses.
Key Duties and Responsibilities
- Receiving & Stock Control
- Receive and verify all incoming goods against approved Purchase Orders, delivery notes, invoices, specifications, and quality standards regarding quantity, quality, condition, and pricing.
- Ensure all incoming merchandise is undamaged and complies with hotel standards before acceptance.
- Verify quantities of all goods received and report discrepancies immediately.
- Safeguard hotel inventories by ensuring stock are properly received, stored, and protected against spoilage, damage, theft, and pilferage.
- Maintain established minimum and maximum stock levels and monitor stock availability to support operational requirements.
- Verify stock at reorder levels against physical quantities before escalating replenishment requirements to Procurement.
- Storage & Inventory Management
- Ensure all merchandise is stored under optimal conditions and in compliance with operational and food safety requirements.
- Ensure stock is stored neatly on appropriate shelving and never directly on storeroom floors.
- Maintain accurate stock rotation practices using FIFO/FEFO principles to minimize wastage and expiry risks.
- Monitor expiry dates and notify the Inventory Controller and Procurement Manager of stock approaching expiry to minimize write-offs.
- Ensure all stock movements, transfers, and emergency issues are processed accurately before cycle counts and inventory reconciliations.
- Assist with physical inventory counts, cycle counts, stock reconciliations, and variance investigations.
- Verify inventory variances with relevant stakeholders and support corrective action implementation.
- Issuing & Documentation Control
- Issue stock only against authorized and properly completed picking lists or requisitions.
- Ensure all stock issues are acknowledged and signed for by receiving departments.
- Process stock issues according to established issuing schedules and operational requirements.
- Ensure all picking lists, stock transfers, and supporting documentation are completed, filed, and submitted within required timelines.
- Maintain accurate records and proper filing systems for all stock movements and inventory documentation.
- Food Safety, Health & Hygiene Compliance
- Maintain cleanliness, hygiene, and security standards throughout all storage facilities.
- Monitor and record storage temperatures, including refrigerators, freezers, and designated temperature-controlled areas, ensuring compliance with hotel and food safety standards.
- Complete all required temperature control records accurately and timeously.
- Ensure compliance with Food Safety Management Systems (FSMS), HACCP requirements, stock traceability standards, hygiene procedures, and internal food safety policies.
- Support compliance with applicable food handling, storage, and disinfection procedures.
- Maintain a safe working environment and comply with all health and safety regulations.
- Reporting & Communication
- Report all damaged, deteriorated, obsolete, or expired stock to the Cost Controller and relevant management immediately.
- Communicate inventory concerns, shortages, stock risks, and operational issues proactively.
- Collaborate effectively with Procurement, Receiving, Inventory Control, Finance, and operational departments to ensure smooth inventory processes.
- Maintain positive working relationships with suppliers and internal stakeholders.
- General Responsibilities
- Maintain confidentiality regarding inventory, financial, and operational information.
- Support departmental requirements during peak operational periods, stock counts, weekends, and staff absences.
- Perform any additional duties reasonably assigned by management.
Skills, Experience & Educational Requirements
- Minimum 2 years’ experience in stores, inventory control, or stock management within a 4- or 5-star hotel or hospitality environment.
- Working knowledge of inventory control procedures, stock management, and receiving processes.
- Knowledge of MS Outlook, MS Excel, inventory management systems, and basic computer applications.
- Knowledge and understanding of Food Safety Management Systems (FSMS), HACCP, FIFO/FEFO principles, stock traceability, hygiene standards, expiry management, and food storage compliance will be advantageous.
- Strong organizational, administrative, and attention-to-detail skills.
- Good business acumen and numerical accuracy.
- Strong communication and interpersonal skills.
- Ability to work under pressure and manage multiple priorities.
