Job Summary:
The Uniform Manager is responsible for the seamless management of the resort’s uniform processes, from sourcing and procurement to distribution and maintenance. Working closely with the Procurement Department, this role ensures cost-effective sourcing, timely deliveries, and efficient inventory management. By aligning with departmental needs and maintaining brand standards, the Uniform Manager plays a critical role in supporting operational excellence and colleague satisfaction.
Key Duties and Responsibilities:
Strategic Planning and Collaboration:
- Develop and implement a comprehensive uniform management strategy aligned with resort operations and brand standards
- Collaborate with the Procurement Department to identify reliable suppliers, negotiate competitive pricing, and streamline ordering and delivery processes
- Work with department heads to forecast uniform needs based on staffing levels and operational requirements
- Conduct market research and benchmark against industry best practices to recommend and adopt innovative uniform management solutions
Inventory Management:
- Oversee daily operations of the uniform storeroom, ensuring cleanliness, organization, and accessibility
- Monitor expenditure against budget; any deviations must be clearly motivated ad approved prior to placing orders
- Conduct monthly stock takes by the 25th, ensuring accurate records of inventory levels and usage trends
- Submit par level reports to the Director of Human Resources, Director of Rooms, and Executive Housekeeper
- Monitor stock levels, replenishing items proactively to avoid shortages
- Manage condemned uniforms, ensuring proper documentation, approval, and disposal processes in collaboration with HR, Rooms, and Finance
Procurement and Supplier Relations:
- Liaise with suppliers to source high-quality uniforms that meet brand and operational requirements
- Raise purchase orders in iScala, track approvals, and follow up on delivery timelines to ensure deadlines are met
- Build and maintain strong relationships with suppliers to address any issues and negotiate favorable terms
- Collaborate with the seamstress to procure repair materials (e.g., buttons, zippers) and coordinate repair schedules
Uniform Issuance and Quality Control:
- Oversee uniform fittings for new hires, placing timely orders to ensure availability by start dates.
- Verify that delivered uniforms meet quality standards and ensure proper fit for colleagues; arrange alterations if needed
- Keep accurate records of issued and returned uniforms, submitting documentation to HR weekly for filing
- Conduct regular uniform and grooming inspections during departmental briefings to ensure compliance with brand standards
Operational Efficiency and Reporting:
- Establish efficient workflows for uniform issuance, returns, and repairs to reduce lead times and minimize waste
- Prepare monthly reports on uniform usage, expenses, and cost-saving initiatives
- Support the Executive Housekeeper in budgeting and forecasting for uniform-related expenses
Basic Requirements:
- Diploma or degree in hospitality, business management, or a related field
- Proven experience in uniform, linen, or housekeeping management, preferably within the Hospitality or Retail industry
- Strong organizational skills with a focus on accuracy and attention to detail
- Effective communication and interpersonal skills, with proficiency in multiple South African languages being an advantage
- Advanced budgeting and forecasting skills, with a track record of cost-saving initiatives.
- Ability to manage multiple priorities, work under pressure, and collaborate with diverse teams across the resort
- Proficiency in inventory management systems and procurement software such as iScala
