Job Summary

The Assistant Manager, Fixed Assets is responsible for managing and maintaining accurate records of an organization’s fixed assets. This role involves tracking the acquisition, depreciation, and disposal of fixed assets in compliance with internal policies and accounting standards. The Assistant Manager, Fixed Assets ensures that all asset-related financial data is correctly recorded in the general ledger, supports audits, and assists with budgeting and forecasting related to capital expenditures. This position requires strong analytical skills, attention to detail, and a solid understanding of fixed asset accounting principles and financial reporting.

Key Duties and Responsibilities

  • Develop, update as required and implement the departmental operations manual including policies, procedures and task-lists in line with the overall Resort policies and procedures and relevant Government Regulations 
  • Ensure all movements in fixed assets are accurately recorded in the Fixed Asset System 
  • Ensure all requested CAPEX follow the required recording, evaluation and approval process prior to ordering and are properly bar-coded and recorded upon delivery  
  • Ensure all depreciation data, calculations and records are maintained and reported for inclusion in the Accounting System 
  • Ensure the physical verification of all fixed assets on a cyclical basis with assistance from other departments, compare with the fixed asset register, investigate discrepancies and report accordingly to the Senior Manager or Director, Finance 
  • Report on apparent abuse of fixed assets, obsolescence or inactivity 
  • Prepare requests for write-off, as applicable  
  • Use initiative to query and follow through on unusual transactions and undertake other audit techniques to assist with verifying the completeness and accuracy of the fixed assets 
  • Ensure various systems and reports are maintained and highlighted for key performance indicators 
  • Bring to the immediate attention of Senior Manager or Director, Finance (or more senior person) any matters which appear to represent material non-compliance with contractual agreements, possible fraud or irregularity, violation of laws or regulations, or significant deficiencies in internal control 
  • Ensure any required General Ledger postings are prepared in a timely manner 
  • Assist as required with the month-end Accounts process to ensure the Accounts are prepared within the required timetable and are as accurate as possible 
  • Assist as required with the annual Budget and ongoing Forecast processes 
  • Ensure all records are appropriately filed for ease of future reference, tidiness and for audit purposes, and utilize electronic storage as much as possible taking into consideration all relevant Government Regulations 
  • Liaise with other departments as appropriate to ensure the smooth running of the Resort operations, that there is complete communication flow and a positive working environment for the overall Resort  
  • Undertake any other assignments as reasonably issued by the Senior Manager or Director, Finance 
  • Ensure there is an emphasis on continuous improvement and the bottom line 
  • To carry out any additional duties within the work scope as requested by the Senior Manager or Director, Finance 

About You

  • Strong understanding of fixed assets accounting, including asset capitalization, depreciation, and disposal. 
  • Strong leadership and communication skills with ability to collaborate effectively across departments. 
  • Proficiency in accounting software and advanced knowledge of Microsoft Excel. 
  • Previous experience in a leadership or supervisory role is preferred. 
  • Bachelor's degree in Finance, Accounting, or a related field.
