Job Summary

The Director, Residences serves as a member of the hotel’s leadership team and a liaison between the third-party company assigned to represent the HOA (Home Owners Association) and Hotel Management Group. The Director, Residences is responsible for residential operations, and overseas the performance of all Colleagues who are fully focused on the residential component, and ensures the services provided by all other hotel colleagues meet residential brand standards and exceed residence owner expectations.

 

Key Duties and Responsibilities

  • Collaborate with the Homeowners Association company to develop/edit House Rules
  • Have a solid understanding of the RERA (Real Estate Regulatory Agency) Law on Owners Association and Mollak system.
  • Handle all resident interactions with the highest level of hospitality and professionalism, accommodating special requests whenever possible, assists in all inquiries in connection with the property services, in-house events, directions, local attractions, pre-arrival needs, etc.
  • Attend to and effectively resolve customer service/homeowner complaints.
  • Ensure all colleagues including contractors are providing services according to the established standards.
  • Ensure the labor model is efficient and appropriate for residence occupancy throughout the year.
  • Lead residential recognition efforts by maintaining homeowners’ profiles are always kept up to date.
  • Assist with new homeowner orientation to the residence by introducing facilities, services rendered and ensuring understanding of any policy and procedures of the residence.
  • Coordinate on move in schedule and accessibility of contractors for resident renovation or upgrade.
  • Coordinate on all deliveries and the management of the mail room.
  • Personalized service and contact, implementing the rules & regulations, newsletters for homeowners.
  • Prepare daily correspondence, monthly management reports, maintenance of individual unit files; monitoring expenses; monthly violation status reports, property inspections, safety inspections, supervision of contracted services, violation notices (customized).
  • Ensure proper and accurate financial management requirements e.g. annual budget, books and records keeping, contracts, and receipts, billing process including sending monthly statements, track resident spend, address all resident questions if require.
  • Knowledgeable about the software programs for the Association as well as the hotel.
  • Oversee the daily operation of pool (both indoor and outdoor), gym, spa treatment room, tennis court, playground, library, club room, etc. 
  • Manage the booking of the Driver’s accommodation, multi-functional meeting rooms and external BBQ facility.
  • Proper implementation of the preventive maintenance to ensure the residence common areas are upkept according to the established standards,
  • Daily maintenance of the common areas to ensure cleanliness are of the highest standards.
  • Coordinate and ensure pest control program are in place for the residences.
  • Implement community events for the owners
  • Maintain complete knowledge and comply with all hotel and residence policies and procedures.
  • Maintain complete knowledge about Rules & Regulations and enforce them for the homeowners.

 

Skills, Experience & Educational Requirements 

  • PMinimum 5 years senior management level experience in residential property management services and/or hotel operations preferably in Room Division, complimented by a strong background in the upper upscale and/or luxury hotel segments
  • Strong inter-personal skills and having experience in dealing with clientele of different background and government bodies.
  • UAE residential experience preferred
  • Excellent customer services and people management skills
  • Facilities management experience is a plus
  • Financial management and business presentation skills, with proven ability to develop and meet operating budgets
  • Ability to manage business relationships, and execute projects and community events
