Job Summary
The Groups Sales Executive is responsible for ensuring the successful reactive sales and event management of Conference and Incentive programs and/or domestic and international Weddings, Conference and Banqueting functions and Private Events. This covers all aspects from quotation, contracting, coordinating, planning, communication of requirements and final billing settlement of all groups and banqueting and conferencing functions.
Key Duties and Responsibilities
- Represent One&Only Aesthesis Athens in a sales capacity during site inspections, educational visits and client presentations (travel agents, leisure clients, corporate and group enquiries).
- Manage the full client journey for group and event business: respond to enquiries, prepare offers, lead site inspections, negotiate, contract, plan and deliver events, and close accounts.
- Coordinate logistics for mid to large group events including room blocks, meeting spaces, event set-ups, billing accuracy and documentation.
- Act as the main liaison between Sales, Operations and clients, ensuring smooth communication and flawless execution from initial enquiry to post-event follow-up.
- Ensure all booking and function details are accurately entered in internal systems (enquiry notes, proposed rates, follow-ups, deposits, and activity tracking).
- Prepare and distribute Group Resumes / BEOs (arrival to departure) to operational departments in a timely manner.
- Lead pre-convention meetings ahead of group arrivals, ensuring full alignment across department heads and clear responsibilities.
- Ensure compliance with One&Only policies and standards across group accommodation, F&B and events, including contract and rate accuracy.
- Maintain strong reporting discipline: generate monthly booking reviews, track deposits due, keep records of lost business, and run reports as required.
- Support the commercial team with additional tasks as assigned by the Director / management team.
Skills, Experience & Educational Requirements
- Sales oriented individual
- In depth understanding of the luxury market and the profile of UHN individuals
- Excellent verbal/written communication skills in Greek and English
- Ability to handle multiple tasks
- Strong background in all aspects of hospitality sales industry
- Minimum of three (3) years’ experience in a similar position
- University/college degree in Business Administration, Economics, Hospitality or related field
