Job Summary

To conduct duties in the assigned place of work and provide a courteous, professional, efficient and flexible service consistent with Kerzner International standards policies & procedures in order to maximize efficiency, productivity and cost effectiveness of the purchasing section

Key Duties and Responsibilities

• Process Purchase Requisitions: All the PRs raised in the system should be processed within the stipulated time frame. To coordinate & assist the respective User departments as regards to their day-to-day requirements.
• Supervise and assist the Storekeepers at each resort (One&Only Gorillas Nest and at Nyungwe Tea Forest Resort )  with their daily purchasing requirements.
• Obtaining Quotes: As per the specifications requested by the user department, quotes should be obtained from various suppliers to ensure goods & services are obtained at the best price prevailing in the market. The supplier should be chosen after a comparative study on the basis of the price, quality, lead time etc.
• Process Purchase Orders: Ensure all approved purchase orders are properly & correctly dispatched via e-mail to the respective suppliers.
• Follow up with the suppliers for the delivery status of the goods & services as per the PO dispatched. Also ensure, the supplier acknowledges the receipt of the PO.
• To assist the department in all areas of operation in the best possible manner.
• Should be update to date with the current market scenarios.
• Maintain Internal Customer Relationship: Seeking feedback from the end users to ensure goods procured are as per hotel quality & standards and disseminating all the relevant information from the suppliers to help in the decision making towards choosing a particular vendor.
• Manage the contract negotiation process, as well as ongoing supplier oversight, to ensure we enter into and maintain cost-effective & well-managed relationships with all suppliers. Regularly meets with vendors to negotiate improved pricing, product quality, and delivery.
• Maintain the contract file for all the resorts
• Vendor Development & Relationship Management: Create successful alliance with the suppliers and built strong business relationships with them. Ensure supplier compliance on Product quality, Health & Safety, legal as well as all other issues as per guidelines and direction from local government authorities.
• Continuously strive for perfection: Proactively requests for feedback from co-workers to enhance personal & team performance.
• Adhere to “Code of Business Conduct & Ethics”.Must be aware of the market conditions and the prevailing guidelines and direction from local government authorities
• Review and approve, as required, purchase order placement at all locations (through online, centralized tools as well as onsite presence) to ensure accuracy, optimum delivery and pricing.
• Maintain company policies & procedures regarding purchasing, receiving and inventory management.

• Implement & maintain effective systems (reports, processes, tools) to help manage, highlight variances, report, & fix costing issues.

• Implement purchasing and contract management instructions, policies, and procedures to support the various business departments & leads.
• Assist/support in menu costing and other costing exercises to help in optimizing/reducing costs.
• Developing, maintaining and updating inventory & pricing databases. Development & maintenance of a vendor, product item, inventory and pricing catalogue system.
• Communicate with functional departments on any pricing trends, product variations, availability and inventory issues as they occur.
• Assist in analyzing data and making purchasing recommendations.
• Attend trades shows/industry events when possible, to find and offer innovative ideas and products.
• Attends internal menu/hotel/catering development meetings to identify new inventory demands, schedules, and procurement needs.

Skills, Experience & Educational Requirements

• Bachelor’s degree.
• Preference of experience in job required.
• Strong analytical skills.
• Understanding of business/financial analysis.
• Technical understanding of business planning processes.
• The position requires managing demanding deadlines.
• Excellent research skills, strong interpersonal skills and the ability to think creatively and interact at all levels of the organization.
• Extensive experience working in Excel, Word, Project and PowerPoint.
• Strong organizational skills and the ability to handle multiple projects at one time;
• A good business sense with an operational focus; excellent financial modeling skills; the ability to work on projects independently
