JOB SUMMARY
To assist the Human Resources Department and ensure all functions and processes of the department are carried out fairly and effectively with consistency. Oversees and executes various administrative tasks accurately and professionally within Human Resources Department standards and procedures. The Administrator, HR will be required to conduct duties in a courteous, safe, and efficient manner ensuring that the highest level of service is maintained. 

 

KEY DUTIES AND RESPONSIBILITIES
•    Maintains the highest standard of professionalism, ethics, and attitude toward colleagues and ensures that they receive a warm welcome to Human Resources. 
•    Be fully aware of all the policies and procedures and standard operating procedures of the Human Resources Department. 
•    Responsible for coordinating and liaising with the relevant departments and Male’s office on colleague medicals and work permit renewals. 
•    Responsible for issuing of employee letters, such as bank and reference letters.
•    Provide administrative support to the Human Resources department for translation of Human Resources-related correspondence, including memorandums, letters, and reports.
•    Responsible for managing and updating all the HR forms and making sure all forms are printed and kept available for colleagues.    
•    Responsible for maintaining the notice boards at the Team Village and ensuring that all information, memos, policies & and procedures, and announcements are up to date. 
•    Responsible for managing, sorting, and distributing employee mail, and co-mail within the Human Resources Team and all departments. 
•    Responsible for preparing the monthly birthday cards for employees including the distribution to the respective departments. 
•    Assist in preparing the required cash vouchers for all the events. 
•    Responsible for managing employee passports by ensuring those passports are submitted to Human Resources on time and ensuring that the tracking list is accurate and updated daily in coordination with the Malé Office. 
•    Contribute in colleague activities, e.g., sports, monthly staff gatherings such as birthdays, model colleagues, colleague surveys, and monthly events. 
•    Responsible for requisition and purchase orders and ensuring that record and filing systems are in place, monitor that general store requirement down to minimum level.
•    To maintain colleague record files, kept confidential including information inside the Human Resources Office. 
•    Maintain a sense of urgency with whatever task is required and work as a team.
•    Always follow the grooming standards. The goal is to present a clean, professional, and natural appearance in both attire and personal appearance.
•    Be punctual, efficient, and above all, courteous.  Always assume a pleasing and helpful manner towards colleagues.  
•    Be aware of your work schedule and give adequate notice whenever serious circumstances prevent you from adhering to your schedule.
•    Communicates promptly and efficiently, team members’ complaints and compliments regardless of employment level, and treats them in a fair and equal manner.
•    To work closely with the Human Resources Team with trust and treat colleagues with respect. 
•    Work closely with the Team Leader and human resources related to payroll work. 
•    Assist human resources team in the coordination of monthly team Event Calendar, Birthday Calendar, Internal communication, and respective follow-up. 
•    To carry out any other reasonable duties and responsibilities as assigned by HR Manager/Director.
•    To perform all other jobs related to your scope of work, as requested by your superiors or other Managers.

 

SKILL EXPERIENCE & EDUCATIONAL REQUIREMENT 
•    Solid administration and computer literacy skills, particularly in MS Office.
•    Must be able to work in a team orientation.
•    Should have excellent communication skills and must be fluent in English.
•    Should be flexible and able to work in a multi-tasking role.
•    Should be able to work in a remote island location with a diverse team.
•    Should have minimum Diploma level education in a related field. 
•    Should have a minimum 1-year experience in a similar role at a five-star hotel/resort
