JOB SUMMARY

 

To assist the Human Resources Department and ensure all functions and processes of the department are carried out fairly and effectively with consistency. Oversees and executes various administrative tasks accurately and professionally within Human Resources Department. The Administrator, HR will be required to conduct duties in a courteous, safe, and efficient manner ensuring that the highest level of service is maintained. 

 

KEY DUTIES AND RESPONSIBILITIES

 

HR Administration

 

•    Maintain full awareness of HR policies, procedures, and standard operating procedures.
•    Issue and manage HR-related documentation, including employment verification letters, bank references, memorandums, correspondence, and reports.
•    Administer colleague processes, including status and action changes, travel arrangements, and work permit renewals in coordination with relevant departments and the Malé office.
•    Handle expense claims, HR form routing for approvals, and ensure proper record keeping and system entries.
•    Manage requisitions and purchase orders for the HR office, maintaining accurate records, monitoring store requirements, and supporting overall HR administrative functions.

 

Payroll & Systems

 

•    Administer the Fusion Payroll System, maintaining real-time personnel information and managing all data updates, status changes, and colleague actions.
•    Oversee payroll processes, including time and attendance tracking, leave management, and related approvals.
•    Maintain and update weekly and monthly HR rosters.

 

Employment & Onboarding

 

•    Support recruitment and onboarding processes, ensuring all colleague documentation is accurate and appropriately filed.
•    Facilitate colleague onboarding in line with brand standards, ensuring a warm welcome and arranging orientation to equip new colleagues to deliver exceptional service.
•    Assist in the preparation and renewal of employment contracts, and support performance management processes, including probation assessments and regular performance reviews.

 

HR Operations

 

•    Manage Co-Mail (between Malé Office and the Island): sort, distribute, and ensure timely delivery of all internal communications.
•    Organise and contribute to colleague engagement activities, including sports, monthly celebrations, and HR team events.
•    Serve as a trusted contact for colleague grievances, maintaining approachability, supportiveness, and fairness.
•    Maintain professional grooming, punctuality, and conduct at all times, serving as a role model for colleagues.
•    Perform other HR-related tasks as requested by superiors or HR managers, ensuring efficiency and teamwork.

 

SKILLS  & EDUCATIONAL REQUIREMENT 

 

•    Solid administration and computer literacy skills, particularly in MS Office.
•    Must be able to work in a team orientation.
•    Should have excellent communication skills and must be fluent in English.
•    Should be flexible and able to work in a multi-tasking role.
•    Should be able to work in a remote island location with a diverse team.
•    Should have minimum Diploma level education in a related field. 
•    Should have a minimum 1-year experience in a similar role at a luxury or Ultra Luxury resort/hotel.
