JOB SUMMARY

 

Responsible for the timely and accurate payment of employees’ monthly salaries, control of Personnel Requisition Forms, maintenance, and updates of Fusion Payroll Module and MRPS website related to local team members' pension contributions. This role will also work closely with the Director, of Finance and Human Resources Department on matters related to payroll.

 

KEY DUTIES AND RESPONSIBILITIES

 

  • Performs day-to-day payroll-related transactions and updates information in the Fusion Payroll Module.
  • Verifies the Payroll and Status Authorization (PSA) in the Fusion system as per approved manual PSA approved by each Department Head and for Managers approved by the Director, Human Resources, Director, Finance, and General Manager.
  • Check the attendance sheet submitted by HRD with the employee time sheets to verify the correctness of the data submitted.
  • Prepares overtime schedule based on the authorized overtime forms and verifies the correctness of data to the attendance sheets submitted. 
  • Performs the monthly payroll process accurately and efficiently and makes available the payroll statement for review/approval on the 25th of the month to ensure that salary payments are sent to the bank before the last day of the month (permanent team members).
  • Prepares casual team members' salaries monthly and ensures that casual salaries are released on or before the 3rd day of the following month.
  • Ensures that payroll adjustments such as payroll deductions and additions (e.g., salary/overtime adjustments, expense claims, etc.) are properly applied during the payroll month.
  • Ensures that salaries will not be released to employees without contracts or contract renewal.
  • Prepares the final payment for resigned/terminated employees accurately upon receipt of the necessary documents from HRD and shall not release the payment unless the clearance form is received.
  • Prepares the monthly payroll reconciliation reports (including the salary variance report) and submits these reports to the Manager, Compliance/EA to DOF for review on or before the 5th day of the following month.
  • Prepares the monthly employee headcount for submission to the Manager, Compliance to DOF and Manager, and Finance on or before the end of the payroll month.
  • Prepares the team members’ monthly service charge distribution calculation.
  • Prepares the monthly and quarterly payroll cost & and headcount variance analysis.
  • Prepares the monthly payroll provisions such as vacation pay, vacation ticket, incentive pay, and long service awards.
  • Approves the HR ticket request in Fusion and ensures that no vacation ticket is purchased for rejected PSAs.
  • Prepares journal vouchers on monthly payroll transactions and other payroll-related accounts and adjustments.
  • Updates the employee information (enrollment, adjustments & termination) and monthly pension contribution (employer & and employee) on the Maldives Retirement Pension Scheme website and is responsible for maintaining accurate information in compliance with the pension requirements.
  • Checks the list of DOIE/MIRA Deposits prepared by the AP Officer.
  • Reviews monthly the list of employee contract expiry and coordinates with HRD to ensure that contract renewals are received on time.
  • Review monthly the list of employee probation and follow-up documents from HRD to ensure these are processed/ received on time.
  • Controls the Personnel Requisition Form to ensure that employee requisitions are budgeted.
  • Coordinates effectively with the Human Resources Department on issues related to payroll.
  • Liaises with other departments on issues/matters related to payroll (i.e. attendance, overtime etc.) for efficient and timely resolution.
  • Prepares payroll documents and processes checklist and performs the review monthly, allows internal audits to be conducted by the Manager, Compliance/EA to DOF.
  • Identifies areas for improvement related to Payroll processes and suggests improvements to enhance the current processes and improve internal controls.
  • Reviews continuously and suggests improvements on the Fusion Software to improve payroll processes and meet the current requirements.
  • Prepares/ updates documentation of all payroll process flows and prepares SOP as necessary.
  • Assists in the forecast and annual budget exercise by providing information related to payroll.
  • Liaises with the external/internal auditors during annual or interim audit activities and prepares audit schedules as requested.
  • Maintains high confidentiality and accuracy over payroll transactions and information.
  • Maintains full confidentiality over Resort Financial information.
  • Stays up to date with the developments, laws, and regulations affecting payroll.
  • Understands thoroughly the Resort policies and procedures affecting payroll such as employees’ handbook and other policies issued by HRD or GM’s office.
  • Implements and maintains compliance with the Resort’s Standard Operating Procedures, generally accepted accounting policies, internal controls, and local regulations.
  • Performs duties of the Executive Assistant to the Director, of Finance during vacation or absence.
  • Performs ad hoc duties and/or special projects as designated by the Director, Finance, Manager, Finance and Manager, Compliance/EA to DOF.
  • Keeps abreast with employee welfare concerns and career development/succession plans.
  • Attends and participates in team events.
  • Participates in required training related to the job.

  • Report incidents of breakages, equipment repair, and maintenance to the Department Head.

SKILL EXPERIENCE & EDUCATIONAL REQUIREMENT

  • Knowledge of the Fusion HR/ Payroll system is an advantage.
