JOB SUMMARY
First, assist and support the departmental KPI, support the Reservations Manager in ensuring 100% coverage of the operation, setting the team to success by closely collaborating with the Team Leader in planning regular training and looking at each other’s wellbeing by suggesting and/or organizing team buildings and gatherings. Focuses on managing the Room Plan and Inventory.
KEY DUTIES AND RESPONSIBILITIES
As an Assistant Manager of Reservations, supports the Manager in fulfilling responsibilities as may be assigned from time to time to ensure the highest level of personalized attention.
As an Assistant Manager for Rooms Inventory, closely coordinates with the Revenue Team in managing availability and/or offers, working on PVMP Planning with the Engineering Team, and updates the availability calendar for the Sales to communicate.
As an Assistant Manager for Operations, focuses on 24 hours to 8 days Room Allocation check and communication with the booker (guest/agent) on Villa Preferences to manage expectations before arrival, planning alternative options, and communicating with the Front Office Leaders to ensure that they are prepared on arrival.
Assistance in monitoring the Credit Controller’s checks and follow-ups of non-guaranteed booking, ensuring all payments are received based on the Payment Policy, reporting any risk of loss, and communicating to the respective department or RSO for any challenges, to obtain necessary decisions before arrival.
Closely worked with the Reservations Manager in handling the Festive bookings (inquiry, conversion, room allocation) to ensure higher production and well-managed Festive bookings.
Closely collaborate with the Team Leader to ensure tasks are disseminated and achieved.
Managing the Duty Roster with the Team Leader to ensure proper coverage of shifts, planning of leaves, and ensuring Regular off, public holidays, and Birthday Offs as used promptly.
Assisting in monitoring the distribution and movement of email, along with the Team Leader, to ensure the agent’s tasks are complete within duty hours.
Organizing refresher training such as Handling Calls, Product Knowledge, Reservations Processes, and best practices under SOP
SAGA Spot checks and merging duplicate profiles per each team member.
Organizing regular team building and gatherings in coordination with the Team Leader
Accountable for maintaining the Reservations Phone, each shift manages the communication and maintains proper endorsement.
Flexibility on Schedule based on operational demands.
Manages the communication of offers, inquiries, conversions of Villas, Transportation, CIP Services, Room Allocations, and payments.
To perform all other jobs related to your scope of work, as requested by your superiors or other Managers.
SKILL EXPERIENCE & EDUCATIONAL REQUIREMENT
Minimum 2 years’ experience in acknowledged resorts and hotels as a supervisor or Assistant Manager
Strong organizational skills
Strong Communication Skills
Strong knowledge of Opera PMS, MS Packages, Sabre, and Online Payment links
Proficiency in English Language
