JOB SUMMARY
First to assist and support the departmental KPI, support the Assistant Reservations Manager and/or Reservations Manager in ensuring 100% coverage of the operation, ensuring all converted bookings are guaranteed with payment within the Terms.
KEY DUTIES AND RESPONSIBILITIES
• Preparing and sending invoices for all prepayment bookings (direct, OTA, Contracted / Non-Contracted Partners), new or amendment within 24 hours of communication.
• The invoice shall be made after an accuracy check of the booking to see that all the rate fixings, packages, and offers are applied correctly.
• Use of Opera automated pro forma as a standard. Manual invoices can be used for multiple bookings, bookings with villa move, and/or if requested.
• Reports to the Assistant Manager and Manager for any discrepancies on offers and corrects with the Agent.
• Reports to the Assistant Manager and Manager for any challenging situation with partners and guests, concerning payment deadlines, or difficulty in using the payment link.
• Advance Trace for any follow-ups to ensure communication is made before the Payment or Cancellation of Terms
• Secure full payment within 24 hours for bookings made last minute, traveling within the Payment or Cancellation Terms
• Advance payment checks for bigger villas – Grand Water Villa, Two Villa Residence, Grand Beach 2Bedoom, Grand Residence, and Grand Sunset Residence.
• Daily Monitor, review, and check all bank transfer payments posted by the Finance team and report new received swift copy.
• Daily Monitor, review, check, and post all received online payments, and update invoices to communicate with the guests/partners.
• Update specific information such as partners with special arrangements (waived 3% Surcharges, partner with different billing address)
• Master Invoice for partners that provide bulk payment.
• Weekly WAIT P report checks with the Assistant Manager / Manager,
• Closely work with the Team Leader in checking WAIT P during the Quality Checks.
• Reporting and issuance of Special Discount Form, within 24 hours at the time the booking was made, and /or prior arrival of the guests, to be circulated to ensure the sign of the signatories.
• Flag any Bank Holidays to ensure advance check and payment follow-ups, and plan for the pending payment of bookings affected by the bank holidays.
• Closely work with the Front Office team to follow up on any open PM account, or bookings with partial deposit that requires full settlement before departure.
• Secure Credit Letter for canceled bookings within credit, to ensure the validity date, and charge the cancellation for expired credit.
• Diligently work with Finance Receivable to review the Deposit Ledger and resolve pending follow-ups and requirements.
• Compulsory attendance during Credit Meetings
• Compulsory attendance on official training courses scheduled for the individual or the department.
• Flexibility on Schedule based on operational demands.
SKILL EXPERIENCE & EDUCATIONAL REQUIREMENT
• Minimum 1-year experience in acknowledged resorts and hotels as an Agent or a Credit Controller
• Strong Organizational skills

• Strong knowledge of Opera PMS, MS Packages, Sabre, and Online Payment links
