JOB SUMMARY
• The Events & Entertainment Coordinator plays a key role in the planning, coordination, and execution of all internal and external events, entertainment programming, and guest experiences. The role requires strong organizational skills, creativity, attention to detail, and the ability to liaise across departments and with external vendors, artists, and clients. The coordinator supports the Events & Entertainment Manager and contributes to the development and implementation of high-quality, engaging, and profitable events.
KEY DUTIES AND RESPONSIBILITIES
• Assist the Events & Entertainment Manager in the creation, coordination, and execution of events, including seasonal celebrations (e.g., Christmas, New Year, Easter), weddings, corporate functions, and private events.
• Contribute to the development of event concepts and entertainment plans that align with the resort’s brand and enhance the guest experience.
• Prepare event proposals, draft contracts, and respond to client inquiries throughout the sales and planning process in absence with Manager, Events & Entertainment with the approval of Manager, F&B or Director, F&B.
• Conduct site visits and attend planning meetings with clients to gather and confirm event requirements if needed.
• Coordinate pre-event logistics such as Banqueting Event Orders (BEO) menus, visa process & requirements, flight booking, venue setup, transportation, and technical equipment alongside with Manager, Events & Entertainment.
• Attend and support major events to ensure flawless execution and optimal client satisfaction alongside Manager, Events & Entertainment.
• Ensure compliance with all health and safety protocols throughout the setup, execution, and breakdown of events.
• In the absence of the Events & Entertainment Manager, act as the primary point of contact for clients from inquiry to event completion, ensuring all expectations are met or exceeded with the approval of the Manager, F&B or Director, F&B.
• Build and maintain strong relationships with clients and external service providers.
• Liaise with vendors, entertainers, and other partners to ensure services meet the resort’s quality and pricing standards with department head approval.
• Coordinate with internal departments to ensure effective and timely delivery.
• Assist in the creation and management of the annual entertainment schedule, including sourcing and proposing music acts and performers.
• In the absence of the Events & Entertainment Manager with the approval of Manager, F&B or Director, F&B:
• Recruit, schedule, and supervise entertainers and monitor their performance quality.
• Act as the main point of contact for in-house entertainers.
• Coordinate with HR, purchasing department and visa officer for legal documentation and arrival logistics.
• Maintain performance log sheet and monthly feedback reports.
• Generate and distribute the weekly entertainment schedule.
• Identify opportunities to upsell additional event services and enhance overall event revenue.
• In the absence of the Events & Entertainment Manager, collaborate with the Sales & Marketing team to explore new business leads and revenue streams.
• Maintain accurate records of event bookings, client details, vendor contracts, and equipment inventory.
• Monitor and track event budgets, process invoices, and manage purchasing to ensure cost efficiency.
• Prepare comprehensive post-event reports, including client feedback, financial reconciliation, and operational review.
• Provide maintenance and usage reports on event venues and entertainment facilities.
• In the absence of the Events & Entertainment Manager, participate in interdepartmental planning meetings and operations briefings.
• Support team training and development initiatives as directed.
• Carry out additional duties as assigned by the Events & Entertainment Manager or senior leadership.
SKILL EXPERIENCE & EDUCATIONAL REQUIREMENTS
• Degree or diploma in Hospitality, Event Management, or a related field.
• 2+ years of experience in event coordination, preferably in a resort, hotel, or luxury hospitality environment.
• Strong organizational, negotiation, and interpersonal skills.
• Creative mindset with a keen eye for detail.
• Excellent written and verbal communication skills.
• Proficient in Microsoft Office and event management software.
• Flexible schedule, including evenings, weekends, and holidays.
• Knowledge of entertainment scene and talent sourcing is an advantage.
