The Sales Executive supports the administrative and commercial tasks required to drive the Sales strategy of One&Only Reethi Rah. Ensures that all assigned duties are carried out daily promptly, overseeing the department administration and full support for all sales projects, including coordination of famtrips and site inspections, contracting, communications with partners and other requests received within the department ensuring proper follow up by the policies and procedures set by One&Only Reethi Rah.
In addition to the sales support the Sales Executive will manage designated accounts and defined Markets/ segments for own territory and manage all groups and weddings enquiries,
KEY DUTIES AND RESPONSIBILITIES
• Communicates with all departments to ensure relevant paperwork and administration is submitted promptly, including, Annual Leave forms, Timesheets (Fusion) Reports, Training Calendar submissions, department procurement, maintaining office supplies and stock, payment forms and processes, department activity tracker and so on.
• Prepares monthly attendance report and updates Fusion for all colleagues in Sales.
• Keeps accurate records in an organized manner that can be accessed by all relevant colleagues immediately as required, in all forms such as computers, files, logbooks, etc.
• Support the document as the Fusion champion and regularly enter weekly attendance on Fusion, create monthly timesheets for all Sales team members, and follow up on the accurate and timely entry and submission of timesheets for approval.
• Maintain and update records of all tour operator communication, contracts, tactical offers, production reports, availability calendar, and so on.
• Ensure all Opera profiles are updated accordingly with contact details, IATA number, partner entitlements, and contracting status.
• Host and Coordinate FAM trips, including comp forms, itineraries, pre-arrival arrangements, gifting, and site inspections.
• Be the department Consortia champion. Ensure that all Consortia websites are updated, correct benefits are stipulated, respective Opera profiles are updated, and regular resort updates are shared to the network to maximize the awareness of One&Only Reethi Rah.
• Maintain an accurate database of all contracted partners for trade updates, circulars, and contracts.
• Create and distribute trade email blasts and circulars, including tactical offers and resort updates.
• Assist with the contracting season and oversee the contracting distribution process to all partners, using DocuSign and Smartsheet.
• Maintains and assists with VIP gifts and sales & and marketing collateral inventories promptly.
• Monthly comp set audit report, logging all comp set notable activity in the market, such rates, offers and marketing activations, press releases, and so on.
• Participate in sales action plans, attending sales meetings, developing special packages, promotional activities undertaken by sales department.
• To co-ordinate and attend specific industry events, trade shows, road shows representing the hotel and keep a high profile in the marketplace.
• Qualify and evaluate sales solicitation for group business and weddings.
• Liaise with the Events Team to ensure that all group files are seamlessly handed over.
• Assist in other administrative duties assigned by the Director of Sales
• Maintain a sense of urgency in all assigned tasks.
• Attends and participates in team events.
• Must demonstrate excellent attendance and punctuality.
• Participates in required training related to the job.
• To effectively communicate and maintain a favorable working relationship with colleges at all levels.
• Always ensure a professional attitude towards guests and colleagues.
• Ensure to always meet the Grooming and Hygiene policy of One&Only Reethi Rah when in uniform.
• To perform all other jobs related to your scope of work, as requested by your superiors or other Managers.
SKILL EXPERIENCE & EDUCATIONAL REQUIREMENT
• Must be of Grade 12 or A-level standard educated.
• Must be fluent in spoken and written English, preferably mandarin speaker however other foreign languages can also be considered.
• Hospitality graduate is a plus.
• Must have good knowledge of computer operation (including software such as Microsoft, PMS, etc.)
• Knowledge of Opera is a plus.
• Five-star or higher category hotel experience is a plus.
• Luxury experience is a plus.
