JOB SUMMARY
To assist the General Manager in a wide variety of tasks allowing the General Manager to increase his capacity and effectiveness in his overall leadership responsibilities.
KEY DUTIES AND RESPONSIBILITIES
• Become and remain informed of all aspects of the General Manager’s role to be able to be proactive in helping increase efficiency and remind the General Manager of duties and appointments when necessary.
• Maintain the highest confidentiality of all information received or channeled through the General Manager’s office.
• Arrange meetings, travel, and accommodation arrangements for the General Manager.
• Compile correspondence and present it in an easily digestible format and deliver regular updates to the General Manager while he is traveling on business trips or is away from the island.
• Screen telephone calls, inquiries, and requests. If they do not warrant the General Manager’s direct attention, handle them personally or delegate to the most appropriate person.
• Establish office systems to deal efficiently with paper flow, and the organization and storage of paperwork, documents, and computer-based information.
• Preparation and distribution of meeting minutes.
• Follow up on progress and ensure completion of tasks delegated to Department Heads.
• Complete expense claims and collect reimbursement for the General Manager.
• Carry out personal errands for the General Manager and his family.
• Perform any additional duties and/or special projects, as requested by the General Manager.
• Provide information or assistance to guests, visiting personnel from Head Office or sister companies, or consultants as and when required.
• Develop good product knowledge and promote the resort and sister resorts, whenever the opportunity arises.
• Contribute to the morale and team spirit of the resort, by maintaining effective relationships with resort colleagues.
• Maintains a high standard of professionalism, diplomacy, and personal appearance, where the image or reputation of the resort is represented.
• Attend and participate in team events.
• Participate in required training related to the job.
• Ensure correct orientation and training for new employees in the department.
• To effectively communicate and maintain a favorable working relationship with colleges at all levels.
• Always ensure a professional attitude towards guests and colleagues.
• Provide an effective structure for communication within the department at all levels.
• Lead by example, inspire, and motivate those around you through enthusiasm, and inspire and guide others to make their decisions based on the organization’s values and overall direction, keeping the Company’s goals in mind.
• Report incidents of breakages, equipment repair, and maintenance to the Department Head.
• Be conscious and responsible regarding energy and water conservation.
• Always maintain the highest levels of personal hygiene.
• Ensure that company and statutory hygiene standards are maintained in all work areas.
• Be fully aware of all health and safety, fire, and emergency procedures.
• Reported any potentially hazardous situations within the workplace.
• Maintain a high standard of appearance and grooming according to One&Only standards.
• Apply and adhere to rules and regulations as per the employee handbook, departmental and resort policies, and procedures, including those for emergencies.
• Develop and maintain an understanding of the overall organization’s mission, vision, and values.
• At all times project a favorable image of One&Only Reethi Rah and One&Only Resorts to the public.
• professionally manage any guest’s complaint, as per the resort’s Policy and procedure (service recovery).
• Practice proper telephone etiquette with colleagues and resort guests.
• Ensure all activities are conducted honestly, ethically, and within the parameters of the Maldivian Law.
SKILL EXPERIENCE & EDUCATIONAL REQUIREMENT
• 2 years experience in a similar capacity.
• Experience in providing a range of EA-related services including word processing, reception, and secretarial support, preferably with a hotel or tourism background.
• Excellent written and oral communication skills with strong people skills.
• Good organizational skills, ability to meet deadlines, and manage multiple tasks.
• Must be able to keep information strictly confidential.
• Practical knowledge of MS Office, Internet, Databases, and desktop publishing.
• Works well under pressure, takes initiative, independent and customer-focused approach when dealing with people of all levels.
• Bachelor's degree holder is an advantage.
• Should be positive and flexible to different duties.
• Knowledge of Fusion and Opera is an advantage.
