JOB SUMMARY

 

To manage and develop HR compliance and administration partners with other departments, management, and other stakeholders to ensure that there are strong protocols in place across the Human Resources Operations. Furthermore, provides support for legal compliance and compliance with the Global Office procedures, in all areas of business about people and is proactively involved in time and attendance records and HR payroll processes.

 

KEY DUTIES AND RESPONSIBILITIES

 

Administration

 

  • To oversee and supervise the Human Resources administration processes, to ensure efficient and accurate services to our colleagues.
  • To monitor the Human Resources/Payroll software to suggest changes to the payroll manager that will enable the system to be run more effectively and efficiently. 
  • Manage the whole filing process in HR admin and conduct regular file audits to ensure that all documentation in the files is up to date.
  • Creation/ Implementation Policies & Procedures in HR Administration 
  • Creation/ Implementation of Standard Operating Procedures in HR Administration
  • Ensures Company compliance with all Human Resources policies and employment legislation ensuring the regular updating of the Human Resources Policy and Procedure Manual and colleague handbook.
  • Keeps abreast with employment legislation, Human Resources, and business trends and puts forward ideas and recommendations always ensuring best practice.
  • Carries out any other reasonable duties and responsibilities as assigned by Management.
  • Ensure that all personal files are maintained according to Kerzner rules and the Law.
  • Leads by example, inspires, and motivates those around through enthusiasm, and inspires and guides others to make their decisions based on the organization’s values and overall direction, keeping the Company’s goals in mind.  
  • Liaising with the Internal / External Auditors and providing the necessary information as requested.
  • To administer and manage all annual, sick leave entitlements and usage of overtime.
  • Prepares the annual manning budget and discusses it with DHR.  
  • Ensures departmental compliance with Resort manning levels and operational requirements.
  • Participates in financial review meetings as required.
  • Develops and maintains an in-depth understanding of the overall organization’s mission, vision, and values. 
  • Ensures all activities are carried out honestly, ethically, and within the parameters of the Maldivian Law. 
  • Undertake additional duties as requested by the Director of Human Resources.

 

HR Payroll Process

 

  • Participate in the configuration and implementation of any HR system. 
  • Monitor time and attendance records and check them for further payroll processing.
  • Ensure that payroll-related documents such as New Hires, Promotion/transfer, Salary Adjustment, Expense Claims, Payroll Instruction, Annual Leave Tickets, and Contract Renewals are entered in Fusion before the payroll cut-off.
  • Check all leave forms are submitted to HR Assistant for the payroll process. 
  • Cooperate with the departments to make sure that the hard copy and electronic versions of attendance records are aligned.
  • Finalize the payroll process from the HR side for further processing by the Finance department as per the global procedure and internal regulations.
  • Liaise with finance on payroll issues and manage all changes and updates.
  • Others
  • Manage the exit of the employee in terms of ensuring the necessary approvals are in place on the Final Settlement and obtain their acceptance. If any discrepancy, ensure it is sorted before the colleague’s departure, including the repatriation flight, if applicable.
  • Work closely with the Director, HR, and Manager, HR assisting them in the daily HR operation.
  • Any other job requested from the management related to compliance.
  • Monitor consumption and order all necessary supplies for the office.
  • Assist HR colleagues, if needed, in the daily execution of their job.
  • Administration of F&F/Guest Villa requests in obtaining approvals and ensuring correct charges to the colleagues.
  • Monitor and process Probation Review promptly and coordinate with the department head and Manager, HR, in case, of failed probation.
  • To perform all other jobs related to your scope of work, as requested by your superiors or other Managers. 

 

SKILL EXPERIENCE & EDUCATIONAL REQUIREMENT 

 

  • Strong analytical and administrative skills 
  • Bachelor’s degree in human resources, management, finance, economics, related field, or equivalent experience
  • Working knowledge of business/function required
  • Preferable experience in human resources, law enforcement, criminal justice, or the legal profession
  • Demonstrated focus on ethics and integrity
  • Proven experience managing and executing all "day-to-day" duties
  • Ability to work independently on the projects as a member of diverse teams
  • Organizational skills and prioritize multiple tasks simultaneously, completing assignments on-time and with accuracy
  • Understands the importance of process controls and compliance risk
  • Applies best practices and progressive concepts to projects
  • 3-5 years in an Admin role
  • 2-3 years in hospitality, preferably in a five-star Hotel/Resort.
