Job Summary

 

He/She leads, manages and organizes all aspects of F&B or other Events as well as Entertainment where necessary to the highest standards and in accordance with set SOPs. Systematically monitors the performance of the department and intervenes immediately if deviations occur. 

He/She will be creative and leads all our events from beginning to end. He/She will maintain an excellent reputation in the eyes of the public, owners, management, guests and colleagues.

 

Key Duties and Responsibilities

 

  • To support the creation the concepts for any major events during the year (Christmas, New Year, Easter, etc…)
  • To Maintain a comprehensive knowledge of all event venues to best advise clients on the logistical aspects of their events.
  • To attend meetings and facilitate site visits both during the event sales and planning process.
  • To develop and maintain a close client relationship and to ensure the client needs are fully understood and converted. 
  • To act as the main point of contact for clients during event sales phase and once event is confirmed. 
  • To ensure all the necessary details for an event are secured and communicated both internally as well as with the client. These may include: Costs, equipment requirements, designs, logistics, menus, entertainment etc.
  • To regularly negotiate with service partners to obtain the most completive pricing.
  • Determine and achieve events sales goals based on budget and/or forecast and KPI
  • To manage the event during build up, execution and breakdown periods.
  • To ensure that all Health & Safety regulations are followed during the setup, execution and breakdown of events.
  • To act as a main contact/liaison between the client and all service partners/departments working on the event, including an element of managing service partner staff.
  • To maintain a close working relationship with other HODs and Excom (in particular with DOFB, DOSM, Exec Chef) and ensures good interdepartmental communications between all departments so that events are organized efficiently, required standards of services are maintained and client’s requirements are met.
  • To ensure that all internal and outsourced services provided as well as supplies procured meet the required the Resort standards.
  • To be responsible for the annual event budget (including private dining)
  • To actively upsell additional items/services and identify income streams for events during the planning process to maximize event revenue.
  • To create and manage the event and entertainment plan for the year, including proposal for Music and Artists
  • To provide regular upkeep/maintenance reports of the event facilities to the Director of F&B.
  • To implement and manage internal administration procedures, including event reports, event schedules, invoicing and purchase control.
  • To produce and share BEOs ahead of all events.
  • To regularly check on reoccurring private events in order to ensure consistency and to identify opportunities for improvement.
  • To produce event, close out information, summarizing all additional costs to the client and contractors in order for the Finance department to process invoices.
  • To complete a comprehensive post event report and to communicate action points during the weekly operations meeting.
  • To participate in all aspects of training and development as directed.
  • To collaborate with Sales & Marketing to generate opportunities for new business
  • Attend social functions to meet new business opportunities.
  • Actively be around the Resorts public areas to engage with guests and obtain feedback as well as identify opportunities for sales.
  • To hold regular meetings with relevant HODs around the planning, execution and feedback of events.
  • Develop events / functions proposals and booklets.
  • Produce and communicate a weekly entertainment schedule.
