About the Role

The Order Taker is responsible for coordinating all service requirements addressed to the In-Room-Dining department, such as receiving guest orders via phone, inputting the orders through Micros, organizing guest amenities and guest trays pick-ups on completion of meals in a timely manner.

 

Key Duties and Responsibilities

  • To conduct daily meetings with the superiors to receive information and to express concerns.
  • To always adhere to the standards of telephone etiquettes and to use the guest’s name whenever possible.
  • To sit or to stand in one place for long periods of time so that the phone is always covered.
  • To have good knowledge of  the room service menus as well as of all F&B outlets menus.
  • To ensure that the phones are always covered by a trained staff member during breaks and meal periods.
  • To ensure that the door is always closed so as not to be disturbed while taking orders.
  • To be directly involved in the order taking and order placing process while dealing with guest requests and orders.
  • To input guest orders in Micros and to issue guest check for each order.
  • To double-check each order to ensure it is correct and complete.
  • To ensure all special guest requests are very well explained to the kitchen via Micros.
  • To inform the Chef and all persons concerned in case of dietary restrictions of guest.
  • To monitor guest orders and to ensure that all guest orders are delivered within the quoted time.
  • To ensure that the guest order tickets should have both the time of the order was taken and the delivery time.
  • To coordinate with housekeeping for pick-up of guest trays after completion of guest meals as well as to maintain the pick-up log.
  •  To follow up with service staff for tray pick-ups.
  • To coordinate guest amenities with the kitchen team and to follow up with front desk and housekeeping departments of any room changes, cancelations or do not disturb rooms.
  • To be thoroughly familiar with all F&B outlet menus, ingredients, and method of preparation for each dish, wine list, as well as the hours of operation for all the outlets.
  • To be knowledgeable of all services, facilities and products offered by the hotel.
  • To consider satisfaction of all guests by ensuring prompt, courteous and efficient service at all times.
  • To always display excellent conversation skills and selling techniques.
  • To communicate with the kitchen regarding menu questions, the length of wait and product availability.
  • To give approximate delivery time to the guest according to the time evaluation system established.
  • To place a call to the guest to apologise and to re-evaluate the delivery time if the order has not been sent by the expected time.
  • To ensure correct posting on Micros for communication to the service and kitchen staff.
  • To ensure proper handover is given to the next shift and also to the superiors for better follow up.
  • To keep deck and working area (telephone, computer, bulletin board) clean and organized.
  • To be aware of the number of occupied rooms and orders and stocks.
  • To assist the IRD staff during peak times and to help in coordinating and setting-up MEP.
  • To take the initiative to complete various tasks and to assist colleagues during slow periods (polish silverware, glasses, folding napkins etc.).
  • To maintain guest history (allergies, preferences etc.).

 

About you

The desired qualification for this role is at least a School Certificate and a National Certificate Level 3 in Restaurant and Bar Service. The ideal candidate should have at least 2 years of experience in the same role in an international ultra-luxury resort and must be fluent in written and spoken English and French.
