Key Duties and Responsibilities 

 

  • Ensuring to maintain a great presentation as per the grooming standards of One&Only Palmilla. 

  • To know very well the occupancy, check-ins, check-outs, groups in house, etc. Overall to have all information needed to cover the shift.  

  • Review the turn overs in Alice and follow up on any pending left by the previous shift.  

  • Maintain a great work environment with all guests and colleagues.  

  • To have knowledge of all room categories, packages (consortia values), promotions and rates.  

  • Answer the phone using the telephone etiquette of One&Only Palmilla.  

  • Manage the lost & found items as per the standard stablished. 

  • Manage the shipping services in responsible way, according to standard.  

  • Assist our guests with billing questions and follow up any clarification required.  

  • Maintain an open communication among all departments of the Hotel.  

  • Updating guest profiles. 

  • Performing Check-Ins and Check-Outs. 

  • Coordinate transportations to the airport and city tours. 

  • Professionally manage guests complaints and follow ups. 

  • Take ownership of handling lost luggage and the proper follow up with guests and airlines. 

  • Revise the high balances and reauthorize accordingly.  

  • Maintain the workstations neat and organized.  

  • Organize the e-mails by specific folders and depurate the system when necessary.  

  • Respond to travel agents & guest emails within the 24 hour stipulated time of response. 

  • Follow through in guest amenities requested by third parties. 

  • Print confirmations of restaurants, Spa and activities. 

  • Permanently speak in English during the working hours. 

  • Ensuring the equipment’s (printer’s, bank terminal, Salto etc.) are working correctly at all times. 

  • Updating the external directory, such as, airlines, consulates, embassies, flower shop, car rentals, etc.  

  • Knowledge of PMS Opera system and how to create new reservations, modifications and cancellations.  

  • Posting Masters Audits.  

  • No-Show charges.  

  • Updating arrivals and departure list for the daily operation. 

  • Apply the JOY pillars at all times in any situation during the shift.  

  • Attend with punctuality to any training where your presence is required.  

  • Posting transportation fees.  

  • To have knowledge of our restaurants menus.  

  • At all times maintain a positive attitude and genuine smile.
